Revenue Management System (RMS)

A revenue management system is software that recommends what to charge for a room, and often executes those price changes for you.

An RMS works by combining what your own property is doing with what the market around you is doing. On your side that means booking pace, current occupancy, length of stay, how far ahead people are booking and which channels they arrive through. On the market side it means competitor rates, local demand signals and events.

Out of that it produces a recommended rate, usually by room type and date, sometimes months ahead.

How it relates to your PMS

An RMS needs live reservation data to work, so it always sits next to a [[PMS]] rather than replacing it. There are two arrangements:

  • Third-party RMS. A specialist vendor connects to your PMS through an integration. Usually deeper forecasting, but the connection is one more thing that can break or go stale.
  • Native RMS. Your PMS vendor provides it. Cleaner data and no integration to maintain, though forecasting depth varies.

What to watch

An RMS that only recommends still needs someone to act on it. One that executes automatically will change your prices without asking, so the guardrails matter: which rates it may touch, how far it may move them, and who can override it.

Small properties often get most of the value from the automation rather than the forecasting, because the alternative is not a better model. It is nobody looking at rates for a week.
