Guest Portal
A guest portal is a web page, unique to one reservation, that a property management system gives the guest for everything they need to do around their stay. No app to install, no password to remember: the link arrives by email or message and opens straight into that booking.
What sits in a portal varies by vendor, but the common set is:
- Booking details, dates and the amount outstanding
- Online check-in, including ID capture and signing house rules
- Payment of the balance, a deposit or a damage waiver
- Arrival instructions, door codes and directions
- Upsells such as early check-in, a late checkout or add-on services
- Messaging back to the operator
The portal matters because it is where self-service actually happens. Every task a guest completes there is one your team does not do by phone or at a desk, which is why operators judge a portal on completion rates rather than on how it looks.
Two things to check before relying on one. First, what happens after checkout: some portals stay open and keep showing sensitive details, others close the relevant sections automatically. Second, what verification stands between the link and anything valuable behind it. A portal that hands out a door code usually asks the guest to confirm a code sent by SMS or email first, which proves control of the contact details on the booking rather than the guest's identity.
Not to be confused with an owner portal, which serves the property owner with statements, bookings and performance rather than the guest.
