Hostfully changes how Vrbo bookings confirm, and adds a cancellation that does not count against you

Hostfully has reworked how Vrbo bookings are processed, and the change has a direct financial edge to it. If you take Vrbo bookings through Hostfully, there are three things to know.
Bookings confirm sooner
Vrbo reservations can now confirm without waiting for payment processing to finish in the background. Hostfully says the aim is to get more eligible reservations through and cut the number that drop into an offline status.
This is a changed default rather than a setting you opt into. A booking that would previously have sat in limbo while payment cleared should now confirm.
Offline bookings have always been the awkward case. They are reservations Hostfully holds but cannot fully process, and they behave differently from a normal booking in ways that are easy to forget until something goes wrong.
A cancellation that is not your fault
This is the useful part. Where a guest's payment keeps failing, you can now cancel the reservation from the Pipeline using a new reason: Canceled due to Payment Failure.
That reason does not count as a host-initiated cancellation and does not trigger a cancellation fee.
Anyone who has been through this will recognise what it fixes. A guest's card fails repeatedly, the stay is approaching, and the only way to free the dates was to cancel it yourself. Vrbo then recorded a host cancellation, with the penalty and the mark against you that follows, for a booking you never had the money for.
Using the wrong reason now costs you real money, so this is worth telling whoever handles your pipeline. The option only helps if the person cancelling knows to pick it.
Clearer warnings on offline bookings
Where a booking is still marked offline, you will now see a warning in the Inbox telling you that Hostfully messaging is not supported for it and that the guest needs to be contacted directly by email.
Small, but it addresses a genuine failure mode. Messages sent through a channel that does not carry them for that reservation look sent and are not received. The guest hears nothing, and nobody finds out until arrival.
What it means for operators
Two things to do. Check your existing offline Vrbo bookings and contact those guests by email rather than through the inbox. And make sure anyone with pipeline access knows the Canceled due to Payment Failure reason exists, because the default instinct is to pick a generic cancellation and that now has a cost attached.
The broader context is that Vrbo has been changing terms for connected hosts. It scrapped the 5% PMS-connected rate at the end of September and moved every host to a flat 12%. Against a higher flat commission, avoidable cancellation fees matter proportionally more, which makes the new reason code more than a tidying-up exercise.
Hostfully points to its Vrbo FAQs for the rest. No plan tier or regional limit is mentioned, and the changes apply to the Vrbo channel rather than to a particular Hostfully subscription.
