Golden profile

The single, merged record of one guest, assembled from every system that holds a version of them. Also called a golden record.

A returning guest typically exists several times over in a hotel's systems: once in the PMS, again in the restaurant POS, again in the spa booking tool, again in the loyalty database. A golden profile stitches those together so staff see one person with one history.

Deterministic versus probabilistic matching. Deterministic matching merges records only on verified identifiers: an email address, a phone number, or a loyalty ID paired with a name. Probabilistic matching also guesses from similar names, addresses or card details. Probabilistic gets you a higher match rate and the occasional profile that fuses two different guests, which is a genuine problem when the record carries an allergy note, a stored payment method or a complaint history.

What to check. Whether the platform overwrites your source records or keeps them, who controls access to the merged profile, and how portable it is if you change vendors. A guest record assembled inside a third party's data platform is only as exportable as your contract says.
